Reports as Scripts

In MoneyWorks 6.0.6 we have introduced the concept of running a MoneyWorks report as a script.

Basically a Report Script consists of a MoneyWorks custom report that, instead of being installed in the Custom Reports folder, is installed in the Custom Scripts folder. Such a report will appear as an additional command at the bottom of the Command menu.

You can do a lot with a Report Script that you had to previously use something like vbScript (Windows) or AppleScript (Mac), and of course the scripts are platform independent. For example, a Report Script can read a text file, massage it in some way, and then bring the data into your MoneyWorks file as a set of transactions (or customers, jobs etc).

As an example, we have created an “Apply Interest” Report Script, which takes the overdue balances in your receivables (either 30+, 60+ or 90+), calculates the interest on these (at a nominated rate), and then optionally creates invoices to charge the overdue debtors. MoneyWorks 6.0.6 released

MoneyWorks 6.0.6 is now available via Software Update.

For most MoneyWorks users, you can update using Software Update in the Help menu (MoneyWorks may already have found the update for you automatically). For Datacentre users, the system administrator can use the Update tab in the Datacentre Console to update the server. MoneyWorks Datacentre clients will then receive the update from the server.

MoneyWorks 6.0.6 is primarily a bug-fix release, and is recommended for all users.

For customers who purchased MoneyWorks Cashbook on Apple’s Mac App Store, the update will be available via the App Store soon.

Highlights:

  • Compatibility with the Outlook changes in Service Pack 1 of Office 2011 for Mac
  • Updates to some invoice forms for better itemisation of taxes
  • Ability to reprint deposit slips
  • Improved Bank Balances report
  • Resolved a number of printing issues on Windows

Billings Pro – Recording and Invoicing Time

The new version of Billings Pro from Marketcircle (developers of the award winning Daylite CRM package) provides an awesome level of integration with MoneyWorks Express, Gold and Datacentre (version 6.0.5 or later).

Billings Pro is a time tracking and invoicing system that allows multiple users to record time on a variety devices, using a native app on Mac and iPhone, and a web app for Windows, Linux, Android, Blackberry Torch, Palm Pre and iPad. This data is seamlessly sent to your Billings Pro “server” application running on your own Mac, where it can be collated, approved and invoiced out. The resultant invoice is transferred seamlessly to MoneyWorks Express, Gold or Datacentre, where the accounting process takes over.

The integration that Marketcircle have achieved with MoneyWorks is truely impressive. When you run Billings Pro, it quietly integrates MoneyWorks behind the scenes, so it knows about the general ledger accounts and customer information that is in MoneyWorks. MoneyWorks also integrate with Daylite and FileMaker, providing a central accounting hub for your workflow.

Effective Stock

One of the much requested features in MoneyWorks Gold 6 was the ability to see Effective Stock levels when entering sales orders (i.e. the Stock-on-hand minus whatever has already been allocated on other sales orders).

To display Effective Stock on a Sales Order instead of stock-on-hand, click the column heading for the SOH column in the sales order entry. The heading will change to “Avail”. This setting will stick until you click the heading again to change it back to SOH.

Office 2011 SP1 issue

MoneyWorks 6 added support for sending emails via Office Outlook 2011 on the Mac (in addition to the already-supported Entourage and Apple Mail). Outlook 2011 has a completely different scripting dictionary from Entourage, which is why MoneyWorks 5 won’t send via Outlook.

Recently Microsoft released an update to Office 2011 (“Service Pack 1”). They made quite a few changes to the Applescript support in Outlook. Most of these are improvements, but one change seems to be a bug. This results in the to recipient address not being added when emailing from MoneyWorks 6.

We’ll have a fix to overcome this change in the next MoneyWorks 6 update. In the meantime it will be necessary to enter email addresses into Outlook manually when sending from MoneyWorks. We regret the inconvenience.

It’s worth noting that if you email large batches of invoices, you might find it more convenient to bypass your email client and use the new Direct SMTP emailing support in MoneyWorks 6. You can set this up in MoneyWorks Preferences, by specifying the name of your (or your ISP’s) SMTP server. MoneyWorks will send out emails with attached PDF invoices or statements directly via this server, and optionally BCC a copy to you.

MoneyWorks News Feed

You may have noticed that MoneyWorks 6 includes a news feed. Newsfeed items are clickable links that appear at the bottom of the welcome page and also at the bottom of the navigator sidebar when the navigator window is large enough.

Tip du Jour: Setting your MoneyWorks 6 Preferences

The MoneyWorks Preferences (under the Edit menu, and not to be confused with the Document Preferences) enable you to specify how you want MoneyWorks to operate on the particular computer you are using. For example, you might like to have your on-screen lists in a bigger font size (or a different font altogether), which you can do on the Fonts panel of the Preferences.

In the Documents panel, there are preferences to prompt you to backup (you should have this on for at least once a week), and a new preference for “Multiple Instances”. Turning this on (it is off by default) allows you to have multiple copies of MoneyWorks running on your computer (e.g. you might want to have several different sets of accounts open at once).

In the Emailing tab, you can set MoneyWorks to bypass your mail client when sending emails by using your SMTP server directly (you’ll need to provide the details). If you do this, emails that you create will be sent directly, and will not open in a new window in your mail client (Outlook, Mail or whatever). This is a great way to speed up the sending of batches of emails.
